Hierarchy kills efficiency
A shallower tree can ensure your time is used efficiently.
Every folder you add is a decision you have to make again every time you save. A deep folder tree looks neat in week one and is a maze by month three.
Depth makes you choose between options that don’t really differ. Does a pricing call with a supplier go under Suppliers, Pricing, or the project it was for? They’re all right, so you’ll pick differently each time, and later you won’t know where to look.
Keep a few folders for where your work actually lives, like an inbox, current projects and somewhere for reference. Use tags for things that cut across them, like a launch or a hiring round, and links for everything else.
If you’re not sure where something goes, put it in the inbox. Search will find it either way. And if you’re spending more time maintaining the structure than using it, flatten it.
