Schedule
Last updated 20 October 2026
Schedule shows the meetings from every calendar on your Mac as one agenda, and lets you join a call, record it into a note that is already filled in, change a meeting’s details, and link meetings to the notes about them.
Calendars it reads
Schedule (⌃3) reads the calendars your Mac’s Calendar app already has: iCloud, Google, Exchange and any other account you have added there. The first time you open it, macOS asks for calendar access, and MindLake needs full access to read events. It reads the calendar store on your Mac; nothing is sent anywhere. If access is off, Schedule shows where to turn it on in System Settings.
The filter button hides calendars you do not want to see, such as holidays. Schedule refreshes when a calendar changes, and asks your accounts for new events each time you come back to MindLake.
The agenda
The agenda opens on today and runs about three months ahead, listing every day that has something on, plus every weekend day. Today is highlighted, with a line at the current time that counts down to what is next. All-day events sit at the top of their day.
Each row shows the calendar’s colour, the time, the title, how you attend and the faces of the people invited; hover the faces for the full list. How you attend is the call’s tool (Teams, Zoom, Meet, Webex, FaceTime), In person with the room, Hold for time blocked out with nobody invited, or, for a hybrid meeting with both a room and a join link, a pin and a camera side by side. The arrows in the header move a week at a time, the dot between them returns to today, the calendar button jumps to any date, and search finds meetings by title or attendee.
Joining and recording a meeting
Hover a meeting that has a video link and click the camera to join it. When a meeting is under way or starts within 15 minutes, a red record button appears on its row. Click it and MindLake creates the meeting’s note, titled and listing the attendees, opens it so you can type, and records into it. The attendee list helps MindLake tell the speakers apart. See Recording meetings.
Bookings get no record button: a train, a flight, a delivery or anything else a booking service put in your calendar. The calendar panel marks one “A booking, not a meeting”.
For the same one-click start without opening Schedule, turn on Show upcoming meetings in Settings ▸ Audio. A record pill then appears in the bottom-right corner of the window while a meeting is starting or under way. If you start a recording some other way during a meeting, MindLake asks “Is this your meeting?” and fills in the note if you say yes.
The command bar (⌥⌘K) lists what is left of today’s meetings before you type: ↩ joins, ⌘↩ joins and records. /sc searches your calendar from a year back to six months ahead.
The calendar panel
Click a meeting to open its details in the panel on the right: a month view, who is invited and who has accepted, the room, the join link, and buttons to join or record. The invite’s notes are shown without the join links and the other lines a call adds to them; of its dial-in details, only a UK (+44) number and the meeting ID or passcode stay. If the meeting has a note, Open note takes you to it. Picking a day in the month moves the agenda to it.
Away from Schedule, choose Calendar from the panel’s title menu and the panel lists the meetings on the days you pick, today to start with, grouped by day, each with a way to open it in Schedule.
- Click a day to show that day.
- ⌘-click adds a day or takes it away.
- ⇧-click picks every day from the last one you clicked, up to 62 days.
- Click a meeting for its details, and Back to the day (or days) to return.
Changing a meeting
In the panel, click the meeting’s title, its time, its place or its notes; the field you clicked opens for editing. Fields you can change light up under the pointer. Save and Cancel sit beside the title, and ⌘↩ saves and ⎋ cancels.
- You can change the title, whether it is all day, the start and end, the place and the notes.
- For a repeating meeting, choose This one (the default) or This and later. Earlier meetings in the series are never changed.
- Saving edited notes replaces the invite’s original notes, join links included, and the panel warns you first.
- Attendees cannot be changed, and you cannot answer an invitation, because macOS only lets apps read them.
- Calendars you can only read, such as subscribed or birthday calendars, offer nothing to edit.
Linking events to notes
A note recorded from Schedule is linked to its meeting automatically. To link an existing note, open it and choose Link Calendar Meeting… from its ⋯ menu. MindLake looks for a meeting at the note’s time and asks “Is this your meeting?”. Linking adds the attendees to the note, gives an untitled note the meeting’s name and, if the note has a recording, transcribes it again so the new names are used for the speakers.
The link is saved in the note’s file, so renaming the note keeps it. A linked meeting’s row gets a button to open its note.
